Finally Authority Control Is Here!

Within past years it had been our anticipation to have our library’s catalog programmed for Authority Control.  What is Authority Control you ask? Authority Control is the process of maintaining consistency in the verbal form used to represent an access point in a catalog; thus providing connections among names, works and subjects.  In addition, authority control ensures that every name; uniform title, series or subject is unique and does not conflict by having an identical entry already in the catalog. The Purpose of Authority Control is to establish uniformity, verification, and linkage to a variation of names that can refer to the same person as well as relationship between subject heading terms. This becomes an advantage for any catalog because it includes having the consistency of established headings, provides links from variant and authorized headings, shows the usage and scope of headings and supports manual and automatic error detection and correction when verifying certain components for access.

Our goal was to have our catalog here at SUNY Downstate converted to a MeSH (Medical Subject Headings) only database, in hopes of helping to enhance the searching strategies for patrons.  With the help of Davida Scharf, consultant of NKR Associates, who served in the role of liaison between us and WLN/OCLC (the vendor that serviced our database) our issue of establishing Authority Control has been implemented. In addition David Solomonoff (our Library Systems Administrator) had his work cut out for him in terms of extracting and reloading our library’s catalog; however, he survived through our tedious demands. Many thanks to Davida and David for all of their time, effort and patience in helping to make this work for us.

While Authority Control has been implemented there is still much time and work that is involved in the upkeep of maintenance.  This maintenance is done through the use of the Authority File which is a set of authority records that lists the names, series and subject headings that are established and used in a catalog providing links to related subject headings, titles and names.  The use of the authority file helps to improve the quality of catalogs by avoiding duplication of work and is needed for efficient cataloging and searching library networks. Authority Work requires research and intellectual effort in the creation and updating of authority work for determining if there is a relationship between names and subject heading terms. Without Authority Control a library’s catalog is at a great disadvantage.



Grants and The Medical Research Library of Brooklyn

Each year the Library is offered the opportunity to apply for a variety of grants.  These grants are designed to enhance our ability to purchase technology, maintain our archival materials and the rest of the collection, provide Interlibrary Loan services and purchase materials for the collection.

These grants may be either competitive, in which a proposal is written for the funding, or by application, in which the funds are generally available for anyone who applies and meets specific criteria.  This year, we have received non-competitive grants totaling $15,717.  These grants are based on our usage statistics, the size of our collection and our budget.

One grant is based solely on proposals for usage and development of new technology in the Library.  As a “matching grant”, we are required to match 50% of the total available grant.  This grant allowed Educational Services to purchase 2 IBM Think Pads to be used for remote teaching.

The largest grant is based on our collection development efforts.  Based on our expenditures per student, it is directly related to our budget and our ability to maintain our collections.  These efforts are coordinated with our “gate” counts and the use of Interlibrary Loan.  Since we are a net lender (we lend to more than we borrow from other libraries), it reflects that we are collecting for the needs of our patrons and also serving the needs of other libraries that are not as large or fortunate to have the required funds to maintain the depth of a collection such as ours.

The Interlibrary Loan grant allows us to secure materials from the National Library of Medicine at no cost to the Library or patron.  It is this grant and the fees we collect from other libraries that assure our patrons (Downstate students, faculty, and staff) that they will not face fees other than for fax or document requests.
 



PubSCIENCE is a service developed by the Department of Energy's (DOE) Office of  Scientific and Technical Information to facilitate searching and accessing journals in the physical sciences and other energy-related disciplines.

PubSCIENCE allows the user to search across abstracts and citations of multiple publishers. In addition to all reports produced by the DOE, users can search for articles in journals by such scientific publishers as The MIT Press, National Academy of Sciences, The American Physical Society, American Society for Microbiology, Nature Publishing Group, Oxford University Press, Blackwell Science, Springer-Verlag, Taylor & Francis Publishers, Ltd. , University of Chicago Press, Wiley, and Kluwer Academic Publishers.  Because users access PubSCIENCE through the Library’s proxy server, they can access full-text articles where links are provided and the Library has an online subscription.  PubSCIENCE also allows users to view articles on a pay-per-view basis.

How to register for Library Informatics classes:

1. Pick up a registration form at the Library’s Information Desk, M-F, 9-7, OR click on any of the classes under “Online Instruction” on the Library’s web page and print out a form.
2. To reserve your seat in a particular class: a check in the amount of $25 is a required deposit which will
be returned to you at the end of the class. CHECKS FOR “NO SHOW” REGISTRANTS ARE NOT REFUNDABLE.
3. Please indicate the classes for which you are registering, by course and section number, ON YOUR CHECK.
4. Make check payable to: SUNY IFR 900410
5. Submit your registration form with check attached: M-F, 9-5, to Ms Jessica Blackstock in room 110.

Registration MUST be received three business days prior to the date of the class. Registration is NOT confirmed until you have heard from Library staff.
 

#109 Medline Tutorials
Description: An introductory tutorial in how to use the Ovid search system. While we use OVID's Medline database as a teaching tool, principles learned are applicabe to other OVID databases. 60-minutes hands-on tutorial.

#110 PubMed 1
Description: A 60-minute presentation discussing the basics of searching the PubMed system.  It will include a general discussion of the PubMed system; and, how it works and how it differes from searching databases on OVID.  Basic author, journal citation, and subject searching will be covered, as well as the Preview, Index, and History features.  Full text capabilities will also be discussed. Hands-on computer time will be provided.

#112 PubMed 2
Description: A 60-minute continuation of PubMed 1.  Advanced features of PubMed will be discussed, such as the MeSH browser.  We will also touch on  the protein and genetics databases available through this system, as well as introduce the National Library of Medicine Gateway, a one-stop search capability for the NLM databases and catalog.
Prerequisite: PubMed 1 or familiarity with the topics listed for that class.

#101 Searching The World Wide Web
Description: A 60-minute presentation on searching the World Wide Web. Attention is paid to directories (Yahoo) and search engines (AltaVista and Googol). Includes information on evaluating web resources.

#111 Evidence Based Medicine
Description: An introduction to the EBM databases available on OVID- Best Evidence and Cochrane Database of Systematic Reviews. Intended for those new to EBM or who wish to know more about these resources.

#103 Word Processing I
Description: A one-hour hands-on presentation discussing the basics of using Microsoft Word. Includes: opening, saving, and printing files; using toolbars and menus; entering and formatting text; editing documents and working with multiple windows.  This class is also a good introduction for people with little experience with computers.

#104 Word Processing II
Description: A continuation of 103.  Topics covered include: formatting documents; working with multiple windows; inserting graphics and tables; and merging documents.

#105 PowerPoint I
Description: A 60-minute presentation discussing the basics of creating a slide presentation using Microsoft PowerPoint. Includes: using the AutoContent Wizard; adding and formatting text; creating new slides; adding graphics; using outlines; applying designs; presenting a slide show; and creating handouts.
Prerequisite: Some computer experience required. Some word processing experience useful but not required
